Frequently Asked Questions

  • You can begin the rental process by creating a personalized Wishlist. Just choose your items by clicking on the heart icon next to each product or the “Add to Wishlist” button on each product card. Click on the cart in the bottom right hand corner to open and review your Wishlist. Choose your event date(s), fill out your contact and venue information and hit “Submit”. After we receive your request, we will send you a customized invoice. Once you approve your invoice, sign our contract and pay a deposit, your items will be reserved for your event.

  • Yes. We require a credit card to be placed on file at the time of reservation. A 50% non–refundable deposit is required to reserve products. We except checks, all major credit cards and cash.

  • Any cancellations must be made in writing. Cancelling an event after a contract has been signed is subject to a cancellation fee of 50% of the contracted rental price, 75% if event is canceled within 30-15 days and 100% of the contracted agreement price is due if cancelled within 14 days to the contracted event date.

  • The client is responsible for securing the proper tent permits for the site, in accordance with local regulations. We will supply the client with all fire retardant certificates and tent specifications required to obtain the proper permit(s). Once a tent permit is obtained, a copy must be presented to Charleston Tents & Events to keep on file.

  • The property for your tent installation must be prepared prior to the arrival of our staff. This includes lawn preparation, tree trimming, pets, animal feces removal and road clearance to the construction site.

    You are responsible for marking grounds in preparation for 18” – 60” stakes to secure tents. This includes marking all underground lines: telephone, water, sewer, gas, cable, electrical etc. You may call 811.

    Tents will also not be setup or removed within 20 feet of underground or above ground power lines.

    You are responsible for the trimming of all trees that may cause damage to the tents prior to the construction date.

    We are not liable for damage to underground cables, pipes or conduits unless you provide us, prior to the installation of equipment, a written plan accurately showing the location of all underground items.

  • We will provide a tentative delivery time the week prior to and/or the week of your event. Schedule adjustments may be made at the discretion of our management team. You, or an authorized representative, must be present to authorize placement of the tent. Tents are to be placed one time only. If tents are asked to be moved, it is at our discretion to move the tent, and additional labor charges will be assessed.

    You must inspect the equipment upon completion of setup. Unless you notify us in writing, stating details of any alleged defect, you shall be deemed to have accepted the equipment.

    Some tents (i.e. structure tents, large frame or pole tents 40’ wide or greater) may require heavy equipment (i.e. semi-trailers, forklifts) to construct. When flooring and tents are installed, it is considered a construction site and heavy equipment may be used. All damage, including but not limited to dirt, grass, sod, grounds, and plant life due to rental equipment, heavy equipment, and/or labor for the requirement of setup and tear down is not the responsibility of Charleston Tents & Events. If you wish to protect grounds from damage due to construction, then preventive measures must be taken prior to setup and be disclosed to our staff.

    A cartage fee is applied when making deliveries above ground level, below ground level and more than 50 feet from the delivery truck. Cartage fees are normally 15% of the contracted agreement, but may be changed based on the conditions of land and distance.

  • Absolutely under no circumstances should the structure or fabric of any tent be compromised by drilling holes, hanging heavy items in excess of 50 pounds from the structure, tearing or cutting the fabric, loosening the tent ratchets/tie-downs, or moving the tent without our prior written consent.

    You assume all risk and liability for the use and operation of the tent and for personal injuries and property damage arising therefrom, including any loss or damage to the tent or to the premises the tent is located on due to theft or vandalism. Damage to the tent shall be based on the replacement value of the equipment at the time of loss. Risk of loss does not include Act of God: heavy rain, hail, lightening, snow, high winds, tornado, etc...

    You must return the equipment in good condition and without damage and must pay for all equipment loss, including damaged or stolen equipment, based on the equipment value at the time of loss.

  • Yes, we offer a variety of flooring options. If tent flooring is desired for your event, it must be installed by us. There is an additional set up/labor fee for long distance manual hauling of flooring on event sites.

    Flooring will not be installed or removed in adverse weather conditions.

  • We offer a selection of high-quality tables, chairs, lighting, decor and other rentals. It is our policy that items, including but not limited to tables, chairs, linens, flatware, dishes, décor, pipe and drape, and staging, for under our tents may only be provided by Charleston Tents & Events. Other paid vendors, solicited or non-solicited, providing the same products we offer requires our approval to be placed under our tent.

  • Yes, we will remove or pick up all rental items in a timely manner. We reserve the right to remove/pick up any rental items before the contracted removal date, but not before the conclusion of your event.

    Should your event require a pick up or delivery, before or after our normal business hours (Monday-Thursday 8:00am-5:00pm, Friday 8:00am-4:00pm, and Saturday 8:00am-12:00pm), additional rates will apply.

  • Tents will not be set up or taken down in adverse weather conditions (i.e. heavy rain, hail, lightning, snow, high winds etc). We reserve the right to determine if weather conditions are conducive for set up and removal. In some circumstances, tent set-up may be postponed due to incoming weather that poses a severe risk to the product. Inclement weather may delay or prevent the installation of equipment in time for your event.

    In the event of an anticipated or actual storm or excessive winds, we have the right to dismantle any installed equipment to ensure the safety of all involved. If a tent is installed for a week or more and inclement weather requires the tent to be dismantled for safety reasons, you must pay for the labor to dismantle and reinstall the tent. The timeframe to re-install tents after inclement weather has passed may be up to 72 hours and changing weather conditions can impact this timeline.

    Please recognize that tents are temporary structures designed to provide limited protection from weather conditions, primarily for sun and rain. There are situations, particularly those involving strong winds and lightning, in which the tent will not provide protection and may even be damaged or blown over.

    Tents are not to be used in a storm as shelters! In severe weather, including but not limited to lightning, heavy rains, and high winds (exceeding 25 mph), the tent must be evacuated. The client is responsible for creating a weather and emergency evacuation plan.

  • Yes, we do. Rain hold tents require a 50% deposit of the entire tent invoice to hold the tents for the date of the event. If you do not need the tent, then no additional fees will be charged. In the event the tent is needed, the final payment (additional 50% of invoice) is due prior to the event date. We need to be notified five days prior to determine if a tent will be used for the event.
